Wellington DJ Hire – DJ Entertainment Terms & Conditions

These Terms & Conditions apply to all DJ entertainment bookings with Wellington DJ Hire.

1. Booking Confirmationa

A booking becomes confirmed when:

  • Wellington DJ Hire issues an invoice outlining the event details.

  • The booking retainer has been paid.

Payment of the booking retainer confirms acceptance of these Terms & Conditions.

The invoice forms part of this agreement and includes the specific booking details, including:

  • Event date

  • Venue location

  • Setup time

  • Performance start and finish times

  • Equipment being supplied

  • Any agreed additional services

These Terms & Conditions apply together with the details shown on the invoice.

2. Booking Retainer

The booking retainer secures your event date and covers administration, planning, venue research, communication, and reserving equipment and availability.

The booking retainer is non-refundable.

3. Final Payment

Unless otherwise agreed in writing, the remaining balance must be paid before or on the day of the event.

4. Client Information Deadline

The client must provide all required event information at least 10 business days before the event.

This includes:

  • Must-play and do-not-play songs

  • First dance and special songs

  • Speech schedule

  • Performance timings

  • Formality timeline

  • Any important announcements

Late changes will be accommodated where reasonably possible but cannot be guaranteed.

5. Performance Time

The performance time is the period shown on the invoice.

Setup and pack-down are separate unless stated otherwise.

Overtime

Additional performance time is subject to availability and charged at:

$75 per half hour

Payment for overtime is due before leaving the venue unless otherwise agreed.

6. Venue Requirements

The client must provide:

  • Safe access for loading and unloading

  • A suitable level performance area

  • Protection from rain and weather where applicable

  • A reliable 230V power supply

Wellington DJ Hire may refuse to operate if conditions are unsafe.

7. Music Requests

Reasonable song requests are welcome.

Requests may be declined if they:

  • Conflict with the agreed music style

  • Are inappropriate for the event

  • Are unavailable

8. Noise Restrictions

The client is responsible for advising Wellington DJ Hire of any venue curfews, sound limiters, or licensing restrictions before the event.

We are not responsible for interruptions caused by venue enforcement.

9. Substitute DJ

If circumstances beyond our reasonable control prevent the originally booked DJ from attending, Wellington DJ Hire may provide a suitably experienced replacement DJ.

The client will be notified as soon as reasonably possible.

The replacement DJ will perform the agreed services outlined on the invoice.

10. Behaviour

Wellington DJ Hire may stop performing or leave the event if subjected to:

  • Threatening behaviour

  • Violence

  • Unsafe working conditions

  • Repeated interference with equipment

No refund will be provided in these circumstances.

11. Photography

Unless requested otherwise before the event, Wellington DJ Hire may photograph or record equipment setups and general event atmosphere for promotional purposes.

12. Force Majeure

Neither party is responsible for delays or cancellations caused by events outside reasonable control, including severe weather, road closures, natural disasters, power failures, or government restrictions.

13. Liability

To the maximum extent permitted by New Zealand law:

  • Liability is limited to the amount paid for the booking.

  • We are not liable for indirect or consequential losses.

  • Nothing limits rights available under the Consumer Guarantees Act where applicable.

14. Acceptance

Payment of the booking retainer confirms acceptance of these Terms & Conditions.

15. Power Supply

The client is responsible for providing a safe and reliable 230V power supply at the venue.

Wellington DJ Hire is not responsible for interruptions caused by:

  • Power outages

  • Faulty venue wiring

  • Overloaded circuits

  • Power failures beyond our reasonable control

Where safe to do so, we will make reasonable efforts to restore service.

16. Parking and Venue Access

The client must advise Wellington DJ Hire before the event if the venue has:

  • Paid parking

  • Restricted vehicle access

  • Loading dock requirements

  • Ferry transport

  • Stairs or other access limitations affecting equipment delivery

Any reasonable parking fees, ferry charges, or additional access costs not disclosed before booking may be added to the final invoice.

17. Outdoor Events and Weather

For outdoor events, the client is responsible for providing suitable weather protection for all equipment.

Wellington DJ Hire may stop using equipment or suspend performance if weather conditions become unsafe, including rain, strong winds, or other conditions that could damage equipment or create a safety risk.

This will not be considered a breach of this agreement where the decision is made for safety reasons.

Wellington DJ Hire – Equipment Hire Terms & Conditions

These Terms & Conditions apply to all equipment hire bookings with Wellington DJ Hire.

1. Hire Agreement

The hire agreement begins once the invoice has been issued and payment has been received.

The invoice specifies:

  • Equipment being hired

  • Collection time

  • Return time

  • Hire period

  • Collection and return location

These details form part of this agreement.

2. Responsibility for Equipment

The hirer accepts full responsibility for all equipment during the hire period.

The hirer is responsible for:

  • Loss

  • Theft

  • Damage

  • Accidental damage

  • Weather damage

  • Damage caused by guests or third parties

The hirer will be responsible for repair or replacement costs where required.

3. Safe Use

The hirer must use the equipment safely and according to the instructions provided.

Wellington DJ Hire may provide:

  • Operating instructions

  • Demonstrations

  • Online manuals

Failure to operate the equipment correctly does not make Wellington DJ Hire liable for interruptions or refunds where the equipment itself is functioning correctly.

4. Fault Reporting

If equipment stops working during the hire period, the hirer must contact Wellington DJ Hire immediately.

This applies regardless of the time, including late-night events.

Immediate contact gives us the opportunity to:

  • Troubleshoot remotely

  • Resolve setup issues

  • Arrange assistance where reasonably possible

Failure to report faults during the hire period may affect refund requests where the equipment is later found to be operating correctly.

5. Equipment Returns

Equipment must be returned at the time shown on the invoice.

Late returns may incur additional charges.

If equipment is kept for another event or an additional day's use, an additional hire charge of 50% of the original hire fee applies unless otherwise agreed.

6. Equipment Location

The equipment must remain at the venue or address specified on the invoice.

The hirer must not relocate the equipment to another venue without prior approval.

7. Setup Responsibility

Where equipment is hired without an operator, the hirer is solely responsible for:

  • Safe setup

  • Secure placement

  • Proper operation

  • Safe pack-down

Wellington DJ Hire accepts no responsibility for injury, property damage, or losses resulting from incorrect setup or unsafe use.

8. Atmospheric Effects

When hiring haze or smoke machines:

The hirer is responsible for confirming that atmospheric effects are permitted at the venue.

Wellington DJ Hire is not responsible for:

  • Smoke alarm activation

  • Fire service call-out fees

  • Venue penalties

  • Event interruptions

9. Noise Control

If local authorities or venue management confiscate equipment due to noise complaints or breaches of venue rules:

The hirer is responsible for:

  • Recovering the equipment

  • Any associated costs

  • Returning the equipment to Wellington DJ Hire

Hire charges continue until the equipment has been returned.

10. Weather

Equipment must not be exposed to rain or unsafe weather unless specifically designed for outdoor use.

Weather damage is the hirer's responsibility.

11. Prohibited Use

The hirer must not:

  • Modify equipment

  • Repair equipment

  • Remove safety features

  • Sub-hire equipment

  • Allow unauthorised dismantling

12. Inspection

Equipment should be inspected upon collection.

By accepting the equipment, the hirer acknowledges that it has been received in good working condition unless faults are noted before leaving.

13. Liability

To the maximum extent permitted by New Zealand law:

  • Wellington DJ Hire is not liable for injury or property damage resulting from incorrect setup or operation by the hirer.

  • Liability for equipment hire is limited to the hire fee paid where permitted by law.

14. Acceptance

Payment of the hire invoice confirms acceptance of these Terms & Conditions.

15. Power Supply

The hirer is responsible for ensuring that suitable power is available where the equipment will be used.

Wellington DJ Hire is not responsible for equipment interruptions caused by:

  • Faulty electrical installations

  • Power outages

  • Overloaded circuits

  • Unsafe power sources supplied by the venue or hirer

16. Collection and Return Access

If delivery or collection is affected by restricted access, paid parking, ferry transport, or other unusual access requirements that were not disclosed beforehand, Wellington DJ Hire may charge reasonable additional costs.

17. Outdoor Use

Equipment must only be used outdoors where it is adequately protected from rain, moisture, excessive wind, and other conditions that may cause damage or create a safety hazard.

Any damage resulting from outdoor exposure during the hire period is the hirer's responsibility.

18. Security During Hire

The hirer is responsible for keeping the equipment secure at all times during the hire period.

Equipment must not be left unattended in unsecured public areas or unattended in unlocked vehicles. Any loss or theft during the hire period remains the hirer's responsibility.

19. No Warranty of User Operation

Wellington DJ Hire warrants that equipment is tested and in working order before collection or delivery.

We do not guarantee uninterrupted operation where issues arise from incorrect setup, misuse, incompatible equipment, or failure to follow the supplied instructions or manuals.
